The most expensive loss: an empty session slot
In consulting and therapy capacity is fixed — only so many sessions fit in a day. A late cancellation, a no-show or a badly planned hour is lost revenue that cannot be recovered later.
A clear cancellation policy, an automatic reminder before each session and the ability to offer a freed slot to someone on the waiting list reduce that loss substantially. None of it requires investment; it requires a system.
The client file is what creates continuity
In these professions value is produced between sessions, not within a single one. What was discussed last time, the exercise you set, measurements and goals are the starting point of the next meeting.
A digital, searchable file lets you pick up exactly where you left off with someone who returns months later. Dated notes also make progress visible, which raises both client motivation and the perceived value of your work.
Packages and remaining sessions
Most consulting is sold in packages: an eight-session programme, monthly follow-up, a three-month coaching block. Tracking the remaining sessions in your head or a notebook produces both errors and arguments.
Define the package in the system and let each session deduct automatically. A warning as the package nears its end lets you have the renewal conversation at the right moment — naturally, without sales pressure.
Privacy is the first selection criterion here
Session notes, health data and personal details are among the most sensitive records in any profession. When choosing software, you need clear answers on who can access data, where it is stored, whether it is backed up and how deletion requests are handled.
In practice that means role-based access so each user sees only what they need, regular automatic backups, and the ability to export and erase a client's data on request. Without those three, how polished the screens look is irrelevant.
