Why a timetable is harder than a diary

In education, appointments repeat: every Tuesday at 5pm, Mondays and Thursdays at 7pm. Add exam weeks, holidays, catch-up lessons and group classes with changing rosters, and a paper diary becomes unworkable past a certain number of students.

The fix is to define the repeating lesson as a pattern rather than writing it out week by week. Set the timetable once and treat cancellations and make-ups as exceptions. Weekly occupancy becomes visible, and so do the free slots you can sell.

The student record carries progress

Which topics a student has covered, where they struggle and which lessons they missed cannot live only in the tutor's head if the business is to grow. The moment a second tutor is involved โ€” or a parent asks months later where you left off โ€” that knowledge is gone.

A short note after each lesson (topic covered, homework set, engagement) becomes your most valuable record. It gives you concrete material for parent meetings, preserves continuity when tutors change, and makes progress demonstrable.

Attendance and make-up lessons: write the rule down first

Nothing causes more friction in tutoring than absence and make-up policy. Rules like "a make-up is offered with one day's notice" or "missed lessons are charged" invite renegotiation every time they are only spoken.

Put the policy in writing and record every absence. Once attendance is logged, the month-end question of how many lessons were delivered stops being a debate, and billing follows the record rather than memory.

Two audiences: the student and the payer

In education the service goes to the student while the decision and the payment usually come from a parent. Lesson reminders should reach the student; payment notices should reach the parent. Systems built on a single phone number lose that distinction.

Keeping guardian details as a separate field on the student record ensures each message reaches the right person. Showing the remaining lessons in a package removes the recurring "how many do I have left?" question entirely.
