Booking software for pet groomers and veterinary clinics

How to organise appointments, pet records, vaccination reminders and owner communication in grooming salons, vet clinics and pet hotels.

Why a pet business diary works differently

In a hair salon the appointment belongs to one person. In a pet business the job is split between the owner and the animal. The owner books, pays and receives your messages; the animal receives the service, carries the history and determines how long the slot must be. Businesses that ignore this split eventually end up asking which client Milo actually belongs to.

The right structure is simple: the customer record belongs to the owner, and the animal's details โ€” name, species, breed, temperament, allergies โ€” live inside that record. Two cats from the same household never get mixed up, messages reach the right person, and past visits stay in one place.

Duration matters: the breed decides your calendar

The most common scheduling mistake in grooming is giving every appointment the same length. A Yorkshire terrier and a Golden Retriever can differ by a factor of two, before you add coat condition, a nervous animal or the extra minutes a first visit always takes. A calendar built on fixed 45-minute blocks collapses by mid-afternoon.

Define services by size or breed group instead: small breed groom 60 min, medium breed groom 90 min, bath and blow-dry 45 min. You set it once and the calendar blocks time automatically. Track real durations for two weeks, then adjust โ€” it stops your day looking emptier than it really is.

Vaccination and care reminders: the easiest repeat revenue

Pet customers are naturally recurring: grooming every six to eight weeks, vaccinations annually, parasite treatment at fixed intervals. If the business does not keep that calendar, the owner usually does not either โ€” and six months later you hear that they meant to come back last month.

Well-run practices write the next vaccination and care date on every animal's record and send an automatic reminder as the date approaches. That single habit lifts occupancy without a penny of advertising, and it repositions you in the owner's mind as the place that looks after their animal.

Owner communication: photos, notes and consent

Trust in pet services is built through communication. Before-and-after photos, a note about preferred coat length, a record of which steps upset the animal โ€” these make the next visit smoother and prevent most complaints before they happen.

The key is that these notes live on the record, not in someone's memory. When staff change or the day is busy, having "afraid of the dryer" visible on screen turns service quality from a personal skill into a company standard.
